Case Study: SMART Ride,Ride Sharing Strategy

Headquartered in San Antonio, Texas, a medical device manufacturing company employs nearly 5,000 people with operations in the US, Latin America, Europe, the Middle East, and Asia and
Australia. CTM assisted in the application of a ride share alternative for event management purposes, and subsequently, corporate travelers as well.

The Challenge

A multi-national pharmaceutical client sought to reduce ground transportation costs for their National Sales Meeting and for ongoing transient corporate travel.

CTM’s client was preparing for an annual sales meeting with 900 attendees in February 2018. When the time came to arrange ground transportation in Las Vegas they sought an alternative to the group transportation commonly provided via bus/coach that would both improve the traveler experience and reduce overall transportation costs.

The Solution

CTM presented an opportunity to deploy a different approach to their ground transportation needs. Instead of pre-scheduling group ground transportation for travelers from the airport to their Las Vegas hotel, the company opted to utilize CTM’s proprietary SMART Ride system to encourage travelers to use a ride share service together to reduce cost and improve traveler experience.

Through our proprietary technology, travelers are connected via text or email message and alerted to the opportunity to share ground transport with a colleague arriving within 30 minutes. CTM’s SMART Ride alert technology allows customers to remove specific travelers from receiving the alerts, such as VIPs, guest speakers, etc. This allowed the company to target their 900 attendees with messages to share transport with colleagues for both arrivals and departures.



Upon conclusion of the National Sales Meeting, our client surveyed attendees and received excellent
feedback. Specifically attendees called out the convenience of Rideshare and a better overall
experience. In addition, CTM and our client analyzed the ground transportation expenses and identified
an average of 1.7 passengers per expensed ground trip (Uber/Lyft/taxi/etc.). This demonstrates that
nearly every attendee shared transport. For approximately 900 annual attendees, the company spent
over $64,195 on ground transport in 2017, utilizing traditional shuttle services and sedan transfers from
the airport to the venue.

In 2018, using individual ground transport with SMART Ride alerts, the company spent just $24,525,
including private transfers for VIP attendees and shared ground transport for all other attendees.


This demonstrated a measurable savings of $39,670, or 62% of their budgeted ground transportation cost for this annual meeting.

The feedback was so positive that our client has enabled RideShare functionality for all their corporate travel effective July 1, 2018.
